
TASKS ON SHIFT
See the clearly organised list of tasks that should be completed by each key worker while they are on shift at the units. The list is broken down into: Daily, start of Shift, End of Shift,
Weekly, Fortnightly, Monthly, Quarterly and Annually
DAILY TASKS

Update Logs daily

Check and reply to emails every two hours’ minimum.

Check calendars before bed to see if there are any appointment, meetings, or attendees for young people the following day.

Update calendar with information received about upcoming appointments, meetings visits etc.

Key working form done following young people key working schedule, and key working codex, this includes missed sessions. (this means filling out a form for each young person that was due to do a key working session that day)

Independent skill assessment has been done and reflected in mentoring key working forms. Usually following the key working codex

Young people signing in and out sheet. (Every time a young person leaves and comes back home)

General sign in and out form (every time someone visits the placement)

Update your section of the weekly reports for each young person in the home. (This can be done using the daily logs or key working forms)

Daily update sent to group/manager (this is just a summary of what you’ve put in to the daily log including anything out of the ordinary or significant that’s has happened. The purpose of this is so when social workers call the office or management team asking for time sensitive or urgent information pertaining to the unit there is somewhere they can go to quickly access the information as well as ensure there is a record of every single unit dating back years.

Has significant events been sent to social worker and manager for example if young person is refusing to take medication, or if young person has not returned home. This would need to be reported to EDT and management.

If any occurred were incidents sent to manager and social worker. This includes an incident report form. And an accompanying email.

Update chronology if there are any significant events to do with a young person. Such as missing, Injury, confrontation, out of ordinary behaviour. This is for the local authority.

Check and tick this off the daily checklist form (this form here.)

Update relevant sections in young person’s folder such as saving mentoring forms, correspondence and assessments and reports

Fill in incident forms and send to manager and social worker

Ensure phone is charged

Log who has stayed out, been reported missing or as unauthorised, note it in significant events on the log add to relevant sections on the weekly report

Check that all appliances, switches and lights are off before going to bed

Check doors and windows are locked before going to bed at night

Check house is clean
END OF SHIFT TASKS
-
Clean and tidy the house according to the hand over form.

File and submit all documentation according to the handover form.
-
Do room checks on handover with other staff member and fill form.

Update staff member taking over on all details that they may have missed or needs to know to successfully complete their shifts.

Petty cash form filled if there was any spend (see petty cash document for more info)

Weekly allowance form filled if you have any to any young people. (Not filling this properly will result in a deduction if everyone’s pay cheque as our accountant will charge the organisation directly for any overspend.

Receipts filled and signed

Has the young person’s board been updated?, new tasks we have to chase up, or new tasks completed, or new information regarding the Y.P with any necessary info.

Has all Forms been filed away in correct folders?

Once Handover has been completed, both staff members if happy sign it, take a picture of it and send to the update group, and properly filed away.
STARTING A SHIFT

Sign in using the staff sign in sheet/ fingerprint system and sine App.

Do a room checks with the person coming off of shift

check and verify all items on the handover sheet before the person leaving shift goes.

Check all young people's room fridges and young people's cupboards in the kitchen. Encourage young people to clean these and discard anything that is out of date, mouldy or no longer edible
